Knights Who Say Ni Officer Charter

Preface:
This document is intended to outline expectations, rules, and guidelines for elected guild officers and potential officers.


I. Conduct and Officer Expectations


A) General Officer Definition
A KWSN Officer is a privilege and not a right. Officership is granted based on a person's ability to conduct themselves in accordance of KWSN expectations of a Casual Raiding /family guild, helping of others, dedication to the guild, and willingness to help the guild grow and prosper. A great deal of trust is conferred upon an officer to uphold guild morals and sense of play. As such, it is expected that all officers keep that in mind when accepting officership and have the personal integrity to decline an invitation to officership should that person feel that they will not be able to live up to guild expectations. Also, an officer should show an equal amount of integrity to request a demotion should that officer feel that they can no longer conduct or participate in a manner expected of an officer. A KWSN officer is a mentor, source of information, guide, guild ambassador, and recruiter to name just a few of the basic responsibilities of officership. Officership is not a reward for time in guild or method to keep a member interested in remaining in KWSN.

B) Setting the example
KWSN Officers are always guild ambassadors and the face of this guild to others throughout the game. Respect towards others is very much expected and considerations to be extended to all others. An officer may lose his officership if it is deemed by the Guild Leader and/or a general consensus of the other Guild Officers to warrant a reduction in rank.

C) Guild Socializing

Officers are encouraged to participate in Guild Chat, get to know the members, and circulate grouping throughout the guild. To do so encourages guild participation and balance within KWSN.

D) In-game Relationships

Warcraft is a very social game and Officers are not precluded from pursuing and maintaining personal relationships within the game. Officers are expected to be KWSN Officers first and before all personal relationship matters. Problems arising from such relationships must be handled in a manner expected from an Officer handling any disputes. No personal relationships should interfere with a guild member's playability, sense of welcome within the guild, or grief. In other words, an Officer's personal relationships should not, in any way, affect another player's gaming and guild experience. Should such a situation arise, it will be at the discretion of the Guild Leader to handle the situation and whose decision on the matter will be final. Such a decision could include demotion and/or deguilding should the severity of the influence warrant such actions.

II. Guild Participation

A) Guild Website Participation
It is expected that every officer log into the guild website at a minimum of once per week to read posts, check accepted applications, etc. Failure to login regularly is an indication of that officer's ambivalence toward the guild in general and will not be tolerated. The site is there as a tool to help guildies to communicate and keep in touch with the regular goings on within the guild. As such, officers must be seen to be making an active contribution to the guild.

B) Helping Members
Members requesting help does not necessitate that an officer drops everything that they are doing to run to help. But, help should be arranged for the individual requesting help IF the request is warranted. Officers should take an active role in arranging for raids to help members when required. This can include referring them to another guildie, arranging for a time to give help, asking others to give the help, referred to a website, etc. Equally important, under no circumstance should leaders encourage "lazy behavior" by repeatedly aiding members with trivial or soloable tasks.

C) Main Toon Membership/Inactivity

Should an officer decide to remove their main toon from the guild, that officer's alts will be demoted and lose Banker permissions. This is not meant as a punishment but an effort to maintain integrity within the guild without suspicion. Officers who have not played their main toon for more that 1 month without exemption from the Guild Leader are subject to demotion.

E) Guild Bank (if no Bank Officer is Appointed)
All officers will be granted the responsibility of being a Guild Banker. As such, officers will be responsible for retrieving or setting items in the bank for others to extract should they request an item(s). It is the officer's discretion to allow members to withdraw items from the Guild Bank. Officers should also take time to identify items of little or no value and remove them from the bank.


III. Guild Invites


A) General Selection Guidelines

1) Player Stats
There are no restrictions on a player's level, time of play, gear, flags, etc. for joining KWSN. This is a family guild that welcomes everyone.

2) Label Member Alts
KWSN is always alt friendly. Any officer inviting someones alt should add a note to the guild roster noting then as an alt and who the alt belongs to.



B) Recruitment Rules

1) Membership Solicitations
It is generally considered amongst respectable guilds that active recruitment of individuals who are already in a guild is in poor taste. Therefore, officers will not actively pursue those players that are already in a guild. If a player expresses an interest in joining KWSN to another guildy or officer then it is then appropriate to pursue recruiting that player.

2) KWSN Website Registration
All new recruits should be encouraged to register with the KWSN website. The address is always available under Guild Info for reference. This registration is the only means of granting access to the Member Only forums, will encourage active participation, and convey information. The recruit should also be encouraged to review the Guild Rules page so they understand the kind of guild they will be joining.

3) New Member Probation
There will be a 7 day / Friendly Reputation mandatory probation for all new KWSN recruits. This rule does not apply to alts that already have toons in KWSN. This probation period is needed to allow officers to evaluate new recruits and deal with problems swiftly should they arise.

4) New Member Mentoring
All officers are responsible for mentoring members. Take time to explain things clearly to new members. If you do not know the answer to a question, refer them someone who does or another officer. Do not allow members to feel ignored.

IV. Guild Member Arbitrations

A) Guildie vs. Guildie Problems

1)When guild members have problems with other guildies, it is an officer’s responsibility to try to resolve the issue. Make a private chat channel and settle the issue(s) in that channel. Problems between members do not need turn into a war in guild chat.

2) If an officer can not resolve an issue between 2 guildies with finality, then the Guild Leader will be consulted, if not already, and it will be the Leader's decision on the matter that will be final.

B) Guildie vs. Others

1) As in Guildie vs. Guildie issues, Officers are expected to show restraint in dealing with others and are encouraged to listen to complaint as well as Guildies side of story. For minor occurrences apologize to person issuing complaint on behalf of Ni and assure them the problem will be dealt with thanking them for calling the issue to our attention. Privately inform the guildie a complaint was received and ask the guildie their side in the Occurrence. Remind guildie they always represent the guild and repeat complaints can result in removal.

2) For serious allegations such as Ninja looting, TOS violations, or Criminal Activity, ask for witnesses, screenshots or any undeniable proof and immediately remove guilty party from the guild.


C) Guildie Misbehavior
All guild members are expected to conduct themselves appropriate to a family guild whether in Guild Chat or outside the guild. It is an officer's responsibility to remind members of this should an officer witness or advised that a guildie is not behaving appropriately.

V. Deguilding

A) General Guidelines

1) All guild members not active after 6 months are subject to deguilding with the approval of a Guild Leader.

2) Officers should only deguild members for reasons that are in clear violation of the guild charter and expected behavior. Officers should consider carefully the fact that they will be removing a family member from the guild before deguilding and weigh the consequences of doing so.

3) If the situation permits, an Officer should confer with a Guild Leader before deguilding a member. However, doing so is at the discretion of the officer.

4) A member should be immediately deguilded should that member conduct themselves in a manner that causes severe and grave damage to the reputation of KWSN or to other members of KWSN.

5) Should an officer need to deguild a member, all of that member's alts should be removed.

6) Upon deguilding a member, the Guild Leader must be notified immediately with a full explanation of why the member was deguilded and contacts if who witnessed the behavior requiring the deguild.

7) An officer should make the decision to deguild based solely on the merits of the offense(s) that the member made and not upon any personal biases, heat-of-the-moment, or other such influences.

VI. Potential Officers:

A) Requirements

1) Member's under consideration/nomination for officership should already be conducting themselves in accordance with this charter. Adherence and compliance with this charter should be the primary tool for determining if a guild member should be promoted.

2) A member must have held guild membership for a minimum of 6 months before promotion is to be considered.

3) Current officers must nominate a member for promotion with another officer seconding the nomination. An officer vote will be scheduled & held. The Guild Leader will have the final decision on granting officership.


B) Nominations

1) Any officer can nominate a member for promotion in accordance with actions outlined above. All nominations will be brought to a vote during a scheduled guild meeting. This will ensure that all officers can participate in the election process and voice opinions/concerns.

2) It is the Guild Leader's responsibility to accept, deny, or shelve all nominations. Should the leader shelve or deny a nomination then an appropriate explanation will be provided within the topic for all officers to review.



VII. Specific Officer Expectations


A) Class Officers

• Offer guidance and class knowledge to all guildies of your assigned Class.
• Know guild policy, guild schedule and be up to date on current guild happenings.
• Know the members of your class well enough to be able to keep up with their needs within the guild and refer them to perspective teams. (IE do they want to raid, pvp, participate in achievement grinds, or just level)
• Keep a high presence in guild and forums.
• Review Accepted Applications on Officer Forums for applicants of your Class.
• Make every attempt to attend any Officer & Guild Meetings.
• Be responsible for any prospective raiders. Ask them if they have any prior experience, check gear and game play (ie dps in 5/man, training dummy) and promote them to Farm Raider Rank {Holy Hand Grenade} when you have determined they are ready.
• Handle disputes within guild.

B) PVP Officers

• Keep Forum updated with PVP team requirements, strategies and information.
• Offer Advice and knowledge of current PVP builds, specs, and gearing to prospective PVPers.
• Promote and execute an active PVP schedule including casual wargames, restricted wargames, and Rated BGs. Add PVP events to calendar.
• Have high communication with Guild Leader about PVP recruitment needs, scheduling, current team status, ect.
• Strive to earn the PVP Guild achievements as they will become an invaluable recruitment tool to prolong PVP success for KWSN.


C) Raid Leader/Role Officer

• Responsible for maintaining World of Logs reports and WebDKP addon.
• Have high communication with Guild Leader about raid team recruitment needs, scheduling, current team status, ect.
• Ensure dedicated raiders are rotated as much as possible while ensuring the integrity of the progression goal.
• Strive to include Casual Raiders on Farm Boss nights making sure Ni has an adequately geared and knowledgeable bench system ensuring the longevity of our raid team.
• Post Raids on Calendar. Raid nights will always remain on the same nights and times every week unless consent is given my Guild Leader.
• Assign “homework” to progression team before new boss encounters. Post planned strategies, notes, tips, & videos in Raid forums. Remember that while it is the raider’s responsibility to research bosses, it is much easier if 10 raiders haven’t watched 10 different videos.
• Keep in mind that KWSN has long standing tradition of being fun & casual, under no circumstances will the Raid team turn hardcore or elitest.
• Accept the fact that this position will be the most closely monitored and heavily scrutinized officer position. It will not be due to the person holding the position, it will be due to the beliefs and experience of the Guild Leader and traditions upheld by KWSN.


D) Achievement Officer

• Focus on Guild Achievements needed by KWSN and plan Achievement Night activities to meet the goals of the Achievement.
• Maintain high communication with Guild Leader and KWSN Achievement junkies on needs of the team.
• Be familiar with Titles, Legendary Drops and Mounts available through any old content raids and set loot master accordingly to avoid drama.
• Schedule Achievement Night events on guild Calendar including what we’ll be focusing on.
• Have strong communication with PVP Officers and Raid Leaders when an achievement of their specialty is almost completed. Sometimes they may not see they are close to getting one and may can complete it sooner if they notice.
• Write a proposal for a policy to be implemented reguarding the Guilds Acquisition of Legendary Items as well as Mount drops.

E) Supply Officer / Banker

• Responsible for keeping needed items stocked and stored.
• Responsible for removal of Gray trash items and donating back the vendor price of said items after sell.
• Responsible for AHing unused unneeded items of value & donating gold won back into gbank.
• Monitor gbank log for signs of abuse & hacked accounts.
• Keep tabs organized.
• Have strong communication with all officers and Guild Leaders about items most needed by classes and teams.

id also like to throw my hat in for achievement officer, this is something that i feel is the GLUE in our guild, it allows non pvpers and people not quite ready to raid as well as new players, to see old content and feel a sense of accomplishment.

raid lead ive done before and i dont do it well. i get too cranky in that role, and i lose patience quickly. id be more than happy to assist the raid lead, as far as researching fights, linking vids, checking buffs during raids etc. the minutia that ends up being a pita, this way they can focus on pure strategy.

anything i can do to help, you name it.
